Educational Noncredit Reporting User Instructions

This is a secure web application.

Access to the application is from the Continuing Education Unit (CEU) Powerbuilder or you may create a bookmark at the sign. It can be accessed through the NC State Novell applications at the sign-on page. A university Sybase login and password is required. It can be obtained through an ASAP request through the dean/department’s office.

To sign on

  1. Type in your (Sybase) id (in lower case) (i.e. nlpsjur)
  2. Type in your (Sybase) password (in lower case) (i.e. june598)
  3. Click Submit

If your sign-on was not successful

  1. You will need to call the ACS HELP Desk at 919.513.1178.
  2. A Unity account will not work with this application, you must use your Sybase id and password.

If your sign-on was successful a menu containing the following choices will appear:

  • Topics
  • Non-CEU Courses
  • Enter New Activity

OR

  • Reports
  • Non-Degree Credit Activity Reporting
  • Ranks and Summaries
  • Profiles
  • College/Dean with Department with Department (OUC)
  • Code Lists
  • Course List

Clicking on this will return you to the MCE&CE home page, from which you may access the instructions for this entry process. You may also access a complete definition of "Non-Degree Credit Activities".

Enter a New Activity

  • In the plain boxes, type in the information requested.
  • In the boxes with an arrow at the end, click on the arrow and choose a value.
  • For Radio Buttons, select the one most appropriate and click on that.

Title:
The title of the activity, up to 40 characters.

Offered by:
This field is automatically filled in, based on the user's college or division as indicated on the ASAP approval form.

OUC:
This field is automatically filled in, based on the user's or the college's OUC from the ACS-025 approval form.

Sponsored or Hosted:
Did the university develop and deliver the activity (sponsored) or did the university just provide facilities and/or support services (hosted)? The default is sponsored.

If Sponsored, Enter Contact Hours:
Enter the number of hours for the activity if it was sponsored; do nothing if the activity was hosted.

Continuing Education Hours Offered:
Is there any professional recognition given for participation in this activity? Yes or No; the default is No.

Number Registered/Attended:
The number of people who were registered and/or attended the activity.

Date Offered:
Date the activity began. In the format mm/dd/yyyy; you supply the slashes.

Date Ended:
Date the activity ended. In the format mm/dd/yyyy; you supply the slashes. (If the beginning and ending dates are in different fiscal years, the Date Ended will determine which fiscal year the activity will be reported.)

Activity Site(s):
Location where the activity occurs, the default is Wake County. You may choose from the drop down list.

Registrant's Locale:
The residence of individual participants; the default is local or you may choose from the drop down list.

Program content:
The category into which the content of your activity best fits. You must choose one from the drop down list.

Industry Served:
The general category reflective of the audience served by the activity. You must choose one from the drop down list.

Impact:
How did the activity affect those who participated? You must choose one from the drop down list.

Office Use Only:
You do not need to do anything with this field.

Submit:
Click on this when the data entered is correct and you wish to save it.

Reset:
Click on this when you wish the screen to be cleared. The data WILL NOT be saved. (Use this whenever you return to this screen and old data is present but not desired in the fields.)

If you decide not to enter a course or to Reset the screen, you may take one of the following actions from the data entry screen:

  • Select Next Action - (The Main Menu)
  • Display List for Update or Delete Selection
  • Exit
  • MCE&CE - Home Page for Instructions and Definition

After the new course is entered and saved (Submit), the system number and title of the course will be displayed, saying that it has been entered. You now have the following choices:

  • Select Next Action
  • MCE&CE - Home Page for Instructions and Definition
  • Enter New Activity
  • Display List for Update or Delete Selection
  • Exit

Note: If sequential offerings of the same activity are to be entered at the same time, you may use the ‘back' function of your web browser. It will bring you back to the entry screen with the previous activity data still there. Simply change the fields which will be different and use Submit again to save that entry.

Display List for Update or Delete Selection

Note: The ability to modify an existing activity record will come in a later version. At the current time, the method for changing an activity entry is to delete it and re-enter it.

A list will appear with the first 100 of the activities matching the user's college/division and OUC, for the current fiscal year, in alphabetical order by title.

Previous 100 Rows:
Will display the previous 100 rows in alphabetical order by title

Next 100 Rows:
Will display the next 100 rows in alphabetical order by title

Reset Table:
Will redisplay the first 100 rows for this college/division and OUC, eliminating any which have been deleted since the previous listing.

To Delete an Activity:

  1. Select the activity to delete and take down its number.
  2. Click on Delete Selected Activity.
  3. When the next window appears: Enter the number of the activity to delete in the box.
  4. Click Submit.
  5. The activity will be deleted and its number and title will be displayed to confirm.

To Update an Activity:
For now, delete that activity (see above).

Re-enter the data for that activity correctly.
To assist you in doing that, you may:

  1. Select the activity you want to delete and re-enter, and take down its number.
  2. Click on Update Selected Activity.
  3. When the next window appears: Enter the number of the course you wish to change in the box.
  4. Click Submit. The data for that activity will be printed so you can check what was entered for it.
  5. You may print this if you wish.

Now you are ready to follow the procedure for deletion.

Exit
This option will break your connection to the web site, and is the proper way to exit the application.

List All Activities
This option, for those having the access level to do it, will list ALL activities in the system for the fiscal year, in the sequence in which they were entered.

Industry Codes
This item will list the industry codes from which you may select for activities entered into the system.

Content Codes
This item will list the activity content codes from which you may select for activities entered into the system.

Impact Codes
This item will list the impact codes from which you may select for activities entered into the system.

College and Division Codes
This item will list the college and division codes from which you may select for activities entered into the system.
